Simplifying Building Maintenance Management

Houseman is a company focused on professional building maintenance, offering services such as building repairs, restorations, tenant council management, documentation handling, 24/7 support, and regular reporting.

We delivered a complete digital system consisting of a Backoffice Administration platform and a Public Tenant Portal. Backoffice is used by employees to process tenant tickets, manage requests, track building updates, and coordinate maintenance work.

The Tenant Portal allows residents to easily report problems, follow updates, access documentation, and communicate with the maintenance team.

The goal was to create a structured and efficient workflow for both tenants and Houseman staff, with increased transparency and faster response times.

Challenges

  • The client handled communication and ticket management manually, which caused delays and inconsistent processes.

  • Tenants had no centralized place to report issues or follow updates.

  • Reports and documentation were scattered across different formats.

  • Creating two separate systems (Backoffice + Portal) that work seamlessly together.

  • Designing a ticket flow that supports prioritization, status tracking, and escalation.

  • Implementing a user-friendly portal for non-technical end users (tenants).

  • Ensuring secure handling of tenant data, documents, and building information.

Challenges of the project

Solution

  • We digitized and standardized the entire maintenance process, replacing manual workflows with automated ones.

  • Introduced a structured communication flow between employees and tenants.

  • Established clear roles in the system to improve accountability and reduce errors.

  • Developed a unified system with two modules: Backoffice Administration + Tenant Portal.

  • Implemented a full ticket lifecycle: creation, assignment, prioritization, tracking, and resolution.

  • Built notification and alert features for faster communication.

  • Added a document and reporting module so tenants and staff can always access updated information.

  • Designed an intuitive interface for tenants, reducing support requests and making the system accessible to all.
